PROJECT ASSISTANT

The project assistant role takes on various administrative tasks including keeping financial records, preparing bills, and delivering high-quality customer service for project team and stakeholders including vendors, suppliers engaged for project activities, and coordination with other LGU stakeholders for the Gender-Responsive Systems Approach to UHC (GRASP-UHC) project.

Essential Job Functions

1 The assistant will work closely with the project manager and associates.
2 Maintaining databases or spreadsheets of important project data such as budgets, timelines, and milestones to ensure that all project deadlines are met and that all paperwork is in order.
3 Drafting and composing letters, memos, and other written communications on behalf of management.
4 Providing administrative support to top executives by coordinating meetings, answering phones, and scheduling appointments
5. Knowledge Management. Participates in harvesting and applying lessons learned to enhance own work, projects and programs.
6. Compliance to Institution Policies. Complies with technical, policy, finance, HR, administration, and corporate communication requirements (i.e. timely submission of monthly report; adherence to support services policies (Finance, Admin, HR, KM, Corporate Communications, ZFFI).
7. Staff Formation (Development). Pursues self development by taking on opportunities that will enhance competencies required for the position, and/or to move up the organization.

Qualifications

Educational Attainment:
Completion of an undergraduate degree
Field of Study:
Public Health, Local Health System, Community Development and other related field
Work Experience:
Minimum of six months to 2 years of work experience
Licenses/Certifications:
RN, RND, RSW or at least with CS Eligibility (Professional Level)
Specialized Training/Skills:
Public Health, Project Management, Local Government Systems, Partnership Development and Management, Stakeholder Engagement, Public Administration, Fiscal Management, Health System Development, Training Development and Coaching
Others:
Able to operate Microsoft software such as Excel, Word, PowerPoint Able to operate online platforms such us Zoom and others Has good communication and negotiation skills.
